Create Advanced Report Notifications

 

Overview

  • Any advanced report can have notifications configured.
  • The schedule can be customized.
  • Disable notifications when no longer needed.

Steps to Configure Advanced Report Notification

1. Select and Configure the Report

  • Choose a report from the advanced reports list.
  • Set report criteria (optional). Example criteria:
    • Program(s) – Defaults to all; select as needed.
    • Service(s) – Defaults to all; select as needed.
    • Program Instance – Defaults to all; modify if needed.

2. Define the Date Range

  • Choose a date range to filter the data. Options include:
    • Specific Date Range – Fixed start and end dates (use calendar button).
    • Specific Start Date with Ongoing End Date – Fixed start date with an adjusting end date (options: yesterday, today, end of today).
    • Rolling Time Period – Dynamic date range (e.g., last 60 days).

3. Create the Scheduled Notification

  • Right-click on the report and select Notification > Scheduled.
  • In the Set Up Notification dialog:
    • Name the notification.
    • Enter a description.
    • Choose if the notification should run immediately.

4. Define Notification Schedule

  • Click the edit icon next to Define Schedule.
  • Enable the schedule. (Disable here if no longer needed.)
  • Set the time zone. (Recommend choosing your local time zone.)
  • Select the start date and time (after 7:30 AM ET recommended).
  • Choose a Repetition Pattern:
    • Daily – Can run every day or at intervals.
    • Weekly – Set for specific days of the week.
    • Monthly – Choose specific days and months.
  • Set an end date (recommended).
  • Click CHECK to save.

5. Define Export Content

  • Click Add Export Content.
  • Choose an Export Format:
    • Entire View – Full report.
    • All Visible – Only the visible page.
    • Selected Items – Specific pages.
  • Configure settings:
    • Select Export Sortable Dates and Include Parameter Values.
    • Choose to display parameter values at the top or bottom.
    • Enable options like Freeze Header Rows and Append Date to File Name (recommended for tracking).
  • Click CHECK to save.

6. Select Delivery Options

  • Click the edit button next to Delivery Options.
  • Choose a Delivery Method:
    • Email – Send report via email.
    • File (SFTP) – Requires SFTP access (contact support if needed).
  • Add recipients:
    • Click Add Recipient (+ icon).
    • Enter the recipient’s email.
    • Choose if the recipient may unsubscribe.
  • Add a Message Subject and Message (included in the email).
  • Ensure Attachments is selected (or the report won’t be included).
  • Click CHECK to save.

7. Finalize Notification Setup

  • Click CHECK at the bottom of the Set Up Notification dialog.
  • The notification is now set and will generate email notifications as scheduled.
