Exporting from ChildPlus

Key Requirements

• Collect last 4 digits of SSN when possible
• Ensure DOB is accurate
• Both elements help with duplicate checking in empowOR

Known Issues and Limitations 

• Zip Code Validation
  • No validation exists in ChildPlus for zip codes
  • Mistyped zip codes (e.g., extra zeros) cause import errors for addresses
• Income Data Issues
  • Income entries without verification dates cannot be imported
  • Income amounts can be entered without selecting income source
  • Zero income entries without source are mapped to "Other" type
  • When income source is missing, system either skips import or maps to "Other income source"

Export Process Requirements

• Standard ChildPlus import requires complete item mapping (all green rows)
• CADS mapping is not done in empowOR
• Administrator access to ChildPlus is required
• XML files should be named meaningfully (include center and year)

Step-by-Step Export Process

• Access Reports section and select 6501 Data Export
• Navigate to Participants and Family Information Tab
• Configure export settings:
  • Select appropriate centers/classrooms and timeframes
  • Enable "Include FAMILY MEMBERS"
  • Enable "Include Social Security Numbers"
  • Set Program Term to "School Year"
  • Select relevant statuses (Enrolled and others as needed)
• Configure additional settings
• Download XML file

File Transfer Protocol

• XML file must be sent to empowOR via Filezilla or WinSCP for transformation
• Email transmission of the file is NOT allowed
• Refer to "Process- Uploading and Downloading from SFTP.pdf" for detailed transfer instructions
