How To Set Up Program Types

This document will instruct you in how to set up a program type in empowOR.

What is a Program Type?

  • Every program must be assigned to a Program Type.
  • Groups similar programs together under one category.
  • Services and Outcomes are set up once and shared across all programs of that type.
  • Programs under the same type must have the same Outcomes.
  • Examples: Emergency Services, Head Start, Housing Vouchers.

Prerequisites

1. Service Templates

Decide on the correct Service Template for the program type:

  • Service Delivery General
  • Counseling
  • Financial Services/Savings
  • Attendance

2. Service Groups

Before setting up a Program Type, create Service Groups:

  • Add a New Service Group (e.g., Homeless Services).
  • Required fields:
    • Service Group Name
    • Service Group Type (Cascading/Regular)
    • Service Items (e.g., 1st Month’s Rent, Motel/Hotel).

3. Outcomes

Set up Outcomes before assigning them to a Program Type:

  • Go to ADMIN -> PROGRAM INFO -> OUTCOMES.
  • Add a New Outcome with:
    • Outcome Name (required)
    • Outcome Description
    • Service Template Type (required)

4. Enrollment Form

  • Determine which Enrollment Form will be used.
  • If using a custom enrollment form, create it before setting up the program type.

Steps to Add a New Program Type

  1. Go to PROGRAM INFO -> ADD NEW PROGRAM TYPE
  2. Basic Info
    • Program Type Name (required) → Recommended to include "Type" in the name.
    • Description
  3. Assign Service Templates
    • Add one or more Service Template options.
    • The templates determine the available service groups when users add services.
  4. Set Up Service Groups & Items
    • Service Delivery General → Select Service Group & Add New Service Items (if needed).
    • Counseling Service → Select Service Group & Add New Service Items (if needed).
    • Financial Service → Select Service Group & Add New Service Items (if needed).
    • Attendance / Multi-Service
      • If Track Attendance is enabled, an Attendance Form will be available.
      • A regular Service Group can be added for tracking additional services.
  5. Attach Outcomes
    • Add a New Outcome and select the required Outcome(s).
