Create a Confidential Program and Control Access
- To mark a program as confidential, go to ADMIN > PROGRAM INFO > MANAGE PROGRAMS and check the "PRIVATE/CONFIDENTIAL PROGRAM" box.
- This restricts access, making enrollments and services visible only to staff assigned to the program.
- To assign staff to a confidential program, go to STAFF > MANAGE STAFF, locate the staff person, and under PROGRAM ASSIGNMENTS, select the confidential program.
Set Up and Use Privacy Tags
- Privacy Tags help restrict access to sensitive information such as case notes, documents, plans, and household addresses based on department or specific topics (e.g., Domestic Violence, HIPAA).
- To create a Privacy Tag, go to ADMIN > MANAGED ITEMS > MANAGED LIST ITEMS, select Privacy Tags, and add new tags.
- Assign tags to staff via the STAFF > MANAGE STAFF section on the staff's basic info screen under PRIVACY TAG.
Hide "Staff Last Update" on Participant Search
- To prevent staff from knowing if a participant has been recently updated by staff working with a private program, you can hide the "Staff Last Update" column in the Participant Search.
- Go to STAFF > MANAGE STAFF ACCESS, expand Participants > Participant Management, and check the option for "Participant Search can view staff recently updated" to hide it.
