SUMMARY:
When a participant moves to a new household, their enrollments and services in empowOR must be managed carefully.
Key Principles:
- Past enrollments/services remain unchanged – They continue to be associated with the household at the time of service and still appear in reports accurately.
- Active enrollments require updates:
- If managing the household losing the participant, end their enrollment and create a new one for the remaining household members.
- If working with the moving participant, follow agency procedures for updating their enrollment.
- Attendance-based services must be transferred – End the enrollment in the previous household and enroll the participant in the new one so attendance is correctly tracked.
- Use "Participant View" – This feature highlights all enrollments and services linked to the participant across different households, with an orange indicator for clarity.
Example Process:
- Shirley moves out of William’s household.
- A warning appears when removing her from the household.
- Decide whether to create a new household for Shirley or add her to another existing household.
- If you don’t manage Shirley’s existing enrollments, take a screenshot and notify the responsible staff to end her enrollments and adjust William’s.
- One-time services (e.g., LIHEAP) don’t require changes.
- Ongoing programs or attendance-based services (e.g., rental assistance, fitness classes) must be ended and re-enrolled in the new household.
- Open Shirley’s new household in a separate browser tab and proceed with her enrollments as usual.
