You can track volunteer hours in empowOR using an aggregate Non-Program (NP) service record, either monthly or by individual households.
Steps to Set Up Volunteer Tracking
- Create a Community Participant
- Name it after your agency or another appropriate identifier.
- If tracking volunteer demographics, use household-based non-program service records.
- Create a Non-Program Service Record
- Name it Volunteer Hours.
- Add relevant service groups, such as:
- Volunteer Type (e.g., parent, senior)
- Volunteer Event Type (e.g., daycare assistance, VITA tax prep, board event, senior activity)
- Include any necessary outcomes, using the Community NPI.
- Set Up a Work Template
- Name it Volunteers.
- Include the NP service record in the template.
- Entering Volunteer Hours
- Access the community participant through the work template.
- Choose one of the following tracking methods:
- Single Record per Month: Create one NP service record per month, recording:
- Total volunteer hours in the Time with Participant field.
- Total number of volunteers in the # of People Served field.
- Separate Records by Volunteer Type: Create a record for each type of volunteer (e.g., Tax Prep, Classroom Assistance), logging corresponding hours and volunteer counts.
- Single Record per Month: Create one NP service record per month, recording:
- Record Outcomes
- Enter volunteer hours in the Outcome tab.
- Reporting
- Use the Core Service Report and Outcomes Summary Report to retrieve volunteer data.
